Smartland is a fast-growing Private Equity Real Estate company managing more than 1,400 residential units across Northeast Ohio. We are looking for a Maintenance Operations Coordinator to join our team and serve as the communication hub between residents, maintenance technicians, and property management.
This role is perfect for someone with maintenance knowledge who wants to transition into an office-based position focused on scheduling, coordination, and operational excellence.
Schedule
- Monday–Friday, standard business hours
- This is an in-office position based at our Eastlake, Ohio headquarters.
Your Role
You will support maintenance operations for 300+ assigned units across multiple residential properties, ensuring every work order is handled promptly, professionally, and accurately.
What You’ll Do
- Serve as the first point of contact for resident maintenance requests
- Diagnose basic maintenance issues and prioritize service needs
- Schedule and dispatch maintenance technicians and approved vendors
- Provide residents with timely updates and clear communication
- Maintain detailed records of all work orders, notes, photos, timelines, and outcomes
- Ensure work orders are scheduled same-day and updated within required timeframes
- Monitor technician workload, turn timelines, and daily progress
- Coordinate with property managers to maintain efficiency and high resident satisfaction
- Track vendor performance, verify completion of work, and support invoice review
- Identify recurring issues and help improve maintenance processes
- Use digital tools, CRMs, and property management systems to manage operations
What You Bring
- Previous experience in maintenance coordination, property management, or hands-on maintenance
- Good understanding of building systems (plumbing, electrical, HVAC, appliances, etc.)
- Strong organizational and multitasking abilities
- Excellent communication and customer service skills
- Ability to stay calm, focused, and efficient in a fast-paced environment
- Comfortable managing high call volume and multiple communication channels
- Proficiency with digital tools, scheduling systems, and work order platforms
- A positive, proactive, solution-focused mindset
Preferred Experience
- Office or administrative experience in real estate, construction, facilities, or dispatch
- Familiarity with AppFolio, Yardi, or similar maintenance/PM software
- Experience coordinating technicians or field service teams
- Basic knowledge of vendor coordination, cost tracking, and materials
